The Al-Andalusia Islamic University of Spain is looking for an General Secretary to support the Rector's Office in the institutional organization, document management, follow-up of agreements and administrative consolidation of the University.
The selected person will be responsible for ensuring that decisions, meetings, official documents, agreements, minutes, resolutions and internal procedures are properly formalized, filed and updated.
This is a position of high institutional trust, especially important in the current phase of the University's growth, in which its academic, administrative, legal and institutional structure is being consolidated.
Profile required
We are looking for an organized, discreet, responsible person with excellent writing skills. You must understand the importance of the educational, religious and institutional mission of the University and act with loyalty, rigor and a sense of responsibility.
Main functions
- Directly support the Rector's Office in the organization and follow-up of institutional matters.
- Prepare notices, agendas and minutes of meetings.
- To follow up on the agreements adopted by the internal bodies of the University.
- Draft and review institutional documents, official letters, resolutions, certificates and reports.
- To organize and keep custody of the University's documentary archives.
- Maintain an updated registry of agreements, collaboration agreements and official documents.
- Coordinate with the Academic Secretary, Management, Academic Coordination and other internal areas.
- Help define and improve administrative and institutional procedures.
- Prepare documentation for meetings, collaborations, official visits and institutional development processes.
- Contribute to the professionalization and internal order of the University.
Requirements
- Excellent writing skills in Spanish.
- Ability to write minutes, reports, letters and formal documents.
- High level of organization and attention to detail.
- Discretion and ability to handle sensitive information.
- Management of digital archiving tools, shared documents and internal communication.
- Ability to coordinate with different areas and follow up on tasks.
- Commitment to the mission and values of the University.
- Residence in Seville or availability to attend in person when necessary.
The following will be valued
- Knowledge of the operation of educational, university, religious or non-profit institutions.
- Experience in general secretarial, administrative management, institutional coordination or similar positions.
- Knowledge of English and/or Arabic.
- Familiarity with the Islamic context in Spain.
- Experience in document management, agreements, minutes, files or internal procedures.
